Integration: Connect ADP Workforce Now to Trakstar Learn
The Trakstar Learn integration with ADP Workforce Now allows you to automatically create, update, archive, and rehire employee records in Learn using ADP Workforce Now as your organization's source of truth. Once configured, changes made in ADP Workforce Now are synchronized to Trakstar Learn during a nightly sync.
How the Integration Works
After the integration is enabled:
- New employees are automatically created in Trakstar Learn.
- Existing employee information is updated automatically.
- Archived employees can be rehired through synchronization.
- Employee records remain synchronized with ADP Workforce Now through nightly updates.
Required Employee Fields
The following fields are required and are created or updated during synchronization:
| Field | Required |
|---|---|
| First Name | ✓ |
| Last Name | ✓ |
| External ID | ✓ |
| Email Address | ✓ |
Important: The External ID must exist for every employee, be unique, and map to an available custom field in Trakstar Learn.
Optional Employee Fields
The following fields can also be synchronized to custom fields in Trakstar Learn to help organize employees:
- Business Unit
- Department
- Company Code
- Job Class
- Location
Automatically Assign Employees to Groups
One of the optional organizational fields can be used to assign employees to groups in Trakstar Learn automatically.
For example, if you use Department:
- Create a group in Learn for each department.
- Map the Department field from ADP Workforce Now.
- Employees are automatically assigned to the matching group during synchronization.
This allows employees to automatically receive any courses assigned to their Group without additional administrative work.
