Managing Users: Archiving, Unarchiving, and Deletion Options

Archiving a user removes their access to Trakstar Learn while preserving their training history and course progress. If needed, archived users can be reactivated at any time.

Archive a Single User

  1. From the left navigation menu, click Users.
  2. Select the user you want to archive.
  3. Click Archive in the upper-right corner of the page.
  4. Confirm that you want to archive the user.

Once archived, the user will no longer be able to access Trakstar Learn.

Archive Multiple Users

To archive several users at once:

  1. From the Users page, select the users you want to archive by checking the box next to each name.
  2. Click Manage.

  1. Select Archive.
  2. Confirm the number of users you want to archive.

The selected users will be archived in bulk.

Reactivate a Single User

If you need to restore an archived user:

  1. Open the user's profile.
  2. Click Reactivate in the upper-right corner of the page.
  3. Confirm the action.

The user will immediately regain access to Trakstar Learn.

Reactivate Multiple Users

To reactivate several users at once:

  1. From the Users page, select the archived users you want to restore.
  2. Click Manage.
  3. Select Reactivate.
  4. Confirm that you want to reactivate the selected users.

The selected users will be restored as active users.

Why Can't I Delete Users?

Users cannot be permanently deleted from Trakstar Learn.

Instead, users can be archived, which removes their access to the system while preserving their historical data.

Why Deletion Isn't Available

User records are retained so organizations can:

  • Preserve course history.
  • Maintain completion records.
  • Keep training progress for reporting purposes.
  • Restore users later if they return to the organization.

If a user no longer needs access, archiving their account is the recommended approach.
