Integrations: Paylocity to Trakstar Learn
The Trakstar Learn integration with Paylocity allows you to automatically create, update, archive, and rehire employee records in Learn using Paylocity as your organization's source of truth.
Once the integration is configured, changes made in Paylocity are synchronized to Trakstar Learn daily, helping keep employee records accurate and up to date without manual administration.
How the Integration Works
After the integration is enabled:
- New employees are automatically created in Trakstar Learn.
- Existing employee information is updated automatically.
- Terminated employees are archived in Trakstar Learn.
- Rehired employees are reactivated automatically.
- Employee records remain synchronized through daily updates.
Required Employee Fields
The following fields are created or updated during synchronization:

Important: Every employee must have a unique Employee Number. This value is required for all employees and is used to match employee records between Paylocity and Trakstar Learn. Terminated employees are automatically archived in Learn.
Optional Employee Fields
The following fields can also be synchronized to custom fields in Trakstar Learn:
- Cost Center 1
- Cost Center 2
- Cost Center 3
- Employee Type (for example, full-time, part-time, or contractor)
- Job Title
Automatically Assign Employees to Groups
One of the synchronized custom fields can be used to assign employees to groups in Trakstar Learn automatically.
For example, if you use Cost Center 1 to represent departments:
- Create a group in Trakstar Learn for each department.
- Map Cost Center 1 from Paylocity.
- During synchronization, employees are automatically assigned to the matching group.
This allows employees to automatically receive any courses assigned to their group without additional manual enrollment.
