Assigning Usernames to Trainees

If your trainees do not have an email address, you can create their Trakstar Learn accounts using a username and password instead.

When trainees log in for the first time, they will use the username and password you assign. After signing in, they can update their password to one of their choosing.

Enable Usernames

To allow trainees to log in with usernames:

  1. Navigate to Settings.
  2. Select Usernames.
  3. Click Edit.
  4. Turn the Usernames feature On.
  5. Save your changes.

If this feature remains disabled, all trainees must have an email address to create and access their Learn account.

Add Trainees Using Usernames

Once the Usernames feature is enabled, you can begin creating trainee accounts with usernames.

If you're importing users via an Excel spreadsheet:

  1. Add a Username column.
  2. Add a Password column.
  3. Complete the remaining required user information.
  4. Upload the spreadsheet.

Accounts will be created using the usernames and passwords provided in the file.

Password Requirements

Passwords must contain:

  • At least 8 characters
  • At least 1 uppercase letter
  • At least 1 lowercase letter
  • At least 1 number
  • At least 1 symbol

Important Notes

Note: Users who log in with usernames do not have an email address associated with their account.

Because of this, Learn cannot send email notifications, including:

  • Course invitations
  • Reminder emails
  • Course completion emails

You will need to provide trainees with:

  • Their username
  • Their temporary password
  • Your Learn site URL so they can log in

Note: Every user account must have either an email address or a username.


Reset a Trainee's Password

To reset the password for a trainee who uses a username:

  1. Navigate to Manage Users.
  2. Select the trainee.
  3. Click Edit.
  4. Enter a new password.
  5. Save your changes.

The trainee can use the new password the next time they sign in.
