Introduction to Learn Reporting

Accessing Reports

The built-in reports in Learn allow you to take a closer look at your course and trainee data.  All user levels besides trainees have options to view reports, but the data they will see is based on what they can access.  To learn more about the various user levels within Learn, click here.

Admins will also see a link to view  Insights at the bottom of the reporting page.

You can access the reports and export options by either clicking on the displayed icons or the tabs at the top of the screen.  Scroll down to learn more about each report section!

Exporting Data

Hovering over the top right corner of any visual report section will display an expansion arrow and three dots.  Click on the dots to Export this data to CSV.  You can click on the arrows to expand the visual data, take a closer look, or make it easier to take screenshots.

Filters

Each report has its options for filters.  You'll see these displayed at the report's top before the data.  All reports can be filtered by start date and end date.  By default, the date range is set to the first day of the current calendar year and today's date.  

Adjusting the date filter in one report will carry over when you view other reports in Learn!  This makes it easier for you to compare dates across reports.

The other options (such as Trainee Name, Trainee Status, and User Groups in the above screenshot) will only apply to the currently displayed report.  Some filters allow you to select more than one option (such as multiple user groups or trainees).

If filters only apply to a specific data subset of a report, it will state that at the top of the report, as seen in the screenshot below:

Custom Field Filters

If your team has set up custom fields, you can filter your reports by these fields.  They are displayed to the right of the report.

Viewing Table Reports

You can expand any column by clicking on the bar between them and dragging it open.

And there is more data to be displayed, depending on your screen settings - be sure to scroll to the right to view all of the information in these table reports.

Data Timestamp

Scrolling down to the bottom of any report to view the date and time the data was last refreshed.  This is displayed in Pacific Time (UTC/GMT -8). Most pages will refresh hourly, while quiz data updates four times daily.


Trainees

The Trainees Performance report displays:

  • Trainee scores and training times
  • Trainee course records and module completion details

The Trainee Course Progression displays the trainee course progress, such as invited, completed, missed completion deadline, and started, along with the pass rate, average score, and active training time.  Specific trainees or user groups can further filter this.

The Trainee Course Detail Table and the Trainee Module Detail Table provide an "at a glance look" at information related to a trainee's progress in a specific course or module, including the course deadline, course attempt status, final score, and active training time.

New! Course Attempt History


We've added two new columns to the Trainee Detail Table to denote if the record you are looking at is the current (most recent) attempt or if it is a historical attempt. The "Course Attempt Detail" column will tell you how many total attempts the trainee has completed.

The Course Attempt Category filter applies to all components on the Trainee and Course Outcomes when changed to Historical, Current, or All.

Trainee Module Detail Table shows only module-level detail of the current course attempt and therefore is hidden when the Course Attempt Category is set to Historical.

Module Enrollment Summary table should only show module-level detail of the current course attempt and therefore is hidden when the Course Attempt Category is set to Historical.

Course Outcomes

The Course Outcomes report displays:

  • Course and module enrollment count
  • Training time by course

The visual report displays information on active courses, invitations sent, and total active training time by month.  Specific courses and modules can further filter this.

Data displayed include details about the number of active courses and modules, invites sent, course starts, courses in progress, and passed courses & modules.

The Course and Module Summary Table and Module Enrollment Summary Table display information related to the courses or modules, such as their status, invites, deadlines, course completions, and more.


Quizzes

The Quizzes report displays the following:

  • Quiz score distribution
  • Quiz summary tables & quiz question summary tables

The visual report displays the average quiz score, average quiz score to pass, failed vs. passed quiz results, and the overall distribution.  This can be further filtered by course or modules, quizzes, trainees, or user groups.


Exports

The Exports section allows you to export data from your Learn account, such as a list of trainees, courses, and modules.  The filter options allow you to choose exactly what data you want to look at or export as a CSV or Excel file.  

To export any of these lists, hover over the top right corner until the three dots appear.  Click them and select if you want to export this data as a CSV or Excel file.
