Introduction to Learn Reporting
Learn's built-in reporting tools allow you to analyze course, trainee, module, and quiz data to better understand learning activity and performance across your organization.
All user roles except Trainees have access to reporting. The reports available and the data displayed depend on each user's permissions.

Accessing Reports
Navigate to the Reports section to access all available reporting dashboards.
Administrators will also see an Insights link at the bottom of the Reports page.

Reports can be accessed by selecting either:
- The report icons
- The report tabs across the top of the page
Exporting Visual Report Data
Most visual reports can be exported directly from the report.
To export data:
- Hover over the upper-right corner of a report.
- Select the three-dot menu.
- Choose Export Data to CSV.
You can also select the Expand icon to enlarge the visualization for easier viewing or screenshots.

Using Report Filters
Each report includes its own set of filters displayed above the report data.
All reports include:
- Start Date
- End Date
By default, the date range is set to:
- The first day of the current calendar year
- Today's date

Changing the date range on one report automatically applies the same date range to the other reports, making it easier to compare data across multiple dashboards.
Additional filters vary by report and may include options such as:
- Trainee Name
- Trainee Status
- User Groups
- Courses
- Modules
Some filters allow multiple selections.
If a filter only applies to a specific section of a report, this is indicated at the top of that section.

Custom Field Filters
If your organization uses Custom Fields, those fields are also available as report filters.
Custom Field filters appear on the right side of the report.

Viewing Table Reports
Many reports include detailed data tables.
You can resize columns by dragging the divider between column headers.

Depending on your screen size, additional columns may be hidden off-screen.
Scroll horizontally to view all available information.

And there is more data to be displayed, depending on your screen settings - be sure to scroll to the right to view all of the information in these table reports.
Data Refresh Timestamp
Each report displays the date and time the data was last refreshed at the bottom of the page.
Note: All timestamps are displayed in Pacific Time (UTC/GMT -8).
Most report data refreshes hourly, while quiz-related data refreshes four times each day.

Trainees Report
The Trainees report provides insight into trainee progress and performance.
It includes:
- Trainee scores
- Training time
- Course records
- Module completion details
You can further filter this report by:
- Individual trainee
- User group
Trainee Detail Tables
The Trainee Course Detail Table and Trainee Module Detail Table provide an at-a-glance view of trainee activity.
Available information includes:
- Course deadline
- Attempt status
- Final score
- Active training time

The Trainee Course Detail Table and the Trainee Module Detail Table provide an "at a glance look" at information related to a trainee's progress in a specific course or module, including the course deadline, course attempt status, final score, and active training time.

Course Attempt History
Two additional columns identify whether each record represents:
- The current (most recent) course attempt
- A historical course attempt
The Course Attempt Detail column displays the total number of attempts completed for the course.

Course Attempt Category Filter
The Course Attempt Category filter is available on both the Trainees and Course Outcomes reports.
You can filter by:
- Current
- Historical
- All

Note: The Trainee Module Detail Table only displays module information for the current course attempt. It is hidden when the Course Attempt Category filter is set to Historical.


Similarly, the Module Enrollment Summary table only displays module-level details for the current course attempt and is also hidden when viewing historical attempts.
Course Outcomes Report
The Course Outcomes report provides information about course activity and enrollment.
It includes:
- Course enrollment counts
- Module enrollment counts
- Training time by course

The visual dashboard displays:
- Active courses
- Invitations sent
- Course starts
- Courses in progress
- Passed courses
- Passed modules
- Total active training time by month
Reports can also be filtered by specific courses and modules.
Summary Tables
The Course Summary, Module Summary, and Module Enrollment Summary tables provide additional information such as:
- Course status
- Module status
- Invitations
- Deadlines
- Course completions
- Enrollment details

Quizzes Report
The Quizzes report provides detailed quiz performance information.
It includes:
- Quiz score distribution
- Quiz summary tables
- Quiz question summary tables

The dashboard displays:
- Average quiz score
- Average passing score
- Passed vs. failed quiz results
- Overall score distribution
Reports can be filtered by:
- Course
- Module
- Quiz
- Trainee
- User Group

Exports
The Exports section allows you to export data from your Learn account.
Available exports include:
- Trainees
- Courses
- Modules
You can filter the data before exporting.
To export:
- Hover over the upper-right corner of a report.
- Select the three-dot menu.
- Choose Export as CSV or Export as Excel.

All Trainee List
The trainee export includes:
- First Name
- Last Name
- Groups
- Trainee Created On
- Trainee Status
- Last Activity On
All Course List
The course export includes:
- Course Name
- Course Status
- Trainer Name
- Trainer Email
- Created On
- Last Modified On
- Course Description
- Quiz Scores Matter
- Has Passing Score
- Passing Score
All Module List
The module export includes:
- Module Name
- Module Status
- Module Type
- Module Created On
- Module Last Modified On
- Course Name
- Course Status
- Number of Courses Using the Module
